Exchange Mailbox Quotas and Backup


Mailbox Quotas

  • Standard Quota:
       160 MB   Warning Message
       200 MB   Restrict Ability to Send New Mail
       400 MB   Restrict Ability to Receive or Send New Mail
  • Executive Large Quota: Unlimited for administrators, deans, directors and their assistants and also users receiving large amounts of mail (and attachments) in a month such as web designers, graphic artists, etc. Generally not available to undergraduates. Requests should be made through the ITS Helpdesk form with a simple justification. 

Temporary Quota Increases (Sabbatical or Extended Leave)

  • Employees and Ssudents who may be going on Extended Leave (Sabbaticals, Maternity Leaves, other Medical Leaves) may request a temporary quota increase via the ITS Helpdesk form. An expected return date is required.

Special Mailboxes

Mailboxes can be created for Locations, Resources, Front Desk (Functional or Position Accounts), and Departmental Mail accounts by filling out the Request Form.

Eligibility: Exchange Account holders are eligible to request Special Mailboxes. Student requests must be sponsored by Faculty or a Department.

Use: Users and delegates of these Special Mailboxes must abide by the University policies covering Electronic Mail. Special Mailboxes are not for personal use.

Duration: Special Mailboxes for Locations, Resources and Departmental Contact can be permanant. Mailboxes created for Special Events require an ending date when requested.

Location and Resource Accounts

  • Moderated accounts require the end user to establish one or more Delegates who will accept or decline requests.
  • Unmoderated accounts use the AutoAccept agent, automatically accepting or declining based on conflicts.
  • Naming Standard: Names generally appear as department.familiarname or building.location.familiarname

Mailbox Backup

Current mailbox items are backed up daily to an off-site location and are retained for seven days.

The Exchange server is not intended for long-term, permanent or archival storage. Senders and recipients need to be aware that they are themselves solely responsible for retention of email that may form part of official University records. Backups for Disaster Recovery Only

The central Exchange backup scheme is not designed for long-term archiving and retrieval of past email. Exchange does maintain a ‘Dumpster’ of items marked for permanent deletion for 14 days. Central Exchange System Users can retrieve their ‘Dumpster’ items using Outlook Web Access.

Moving Mailboxes between Exchange systems

Mailboxes may be moved from another WSU Exchange service by the Exchange Systems Administrators and is generally transparent to the end-user. Requests should be made via the ITS Helpdesk Form.
