Exchange Eligibility, Access and Duration
Established for the centrally-managed
Connect Exchange Service at WSU, some of these policies and service levels are
also in effect for the other Exchange systems in the WSU Exchange Organization.
Eligibility
- WSU offers Exchange email and calendaring accounts to Faculty, Staff and Graduate Students
Users having a specific affiliation with the University may also be given accounts (a Friend ID) if sponsored by a WSU unit. Also see Email Options at WSU - All users must abide by the University policies covering Electronic Mail.
Access
- Exchange and the central Connect service use Active Directory Authentication for access. Users can change their Exchange password by using the web Password Change webpage
Name/NID Changes
- Users have the option to change how Active Directory stores their First Name here: https://webutil.wsu.edu/apps/maildisplayname/index.aspx.
- Last name changes are updated once proof of legal name change documentation has been submitted to the Payroll department.
- Network ID changes are handled through ITS Administrative Services and Accounts group and, except for unusual cases, are only done when the last name changes.
Duration (How long are accounts valid?)
- Generally from the start of association with WSU until 45 days after separation from service or leaving WSU, except for Emeritus Faculty whose departments wish to have mailbox continued in service.
Disabling and Deletion
- Departments or units can request immediate disabling of particular accounts upon separation via the ITS Helpdesk form. The ITS Administrative Services and Accounts group will submit these deletion requests to have the account disabled immediately.
Separation Issues
- Upon separation from WSU service or at the end of WSU affiliation email forwarding (NID@wsu.edu) should be changed. Departments and units may have access to a former employee’s mailbox. Written requests for this access (based on business reasons) should made here.
- NOTE: Mail sent from other WSU Exchange users will go to the Exchange account regardless of the setting of the NID forwarding
